AI services and consulting for Duncan businesses

Most Duncan businesses run their admin with one or two people, often the owner in the evening: quotes, invoices, booking email, supplier paperwork and the writing nobody has time for. That is where AI is worth trying first. It also suits remote delivery — tools are set up inside the Microsoft 365 or Google account you already have, configured and demonstrated over a screen share, with your data kept in business accounts rather than personal ones.

Where AI helps Duncan businesses

  • Turning job-site photos and voice notes from a call in Chemainus or Mill Bay into a quote and an invoice
  • Drafting replies to booking, tasting-room and availability email through the visitor season, with a hand-off to staff
  • Reading supplier invoices and packing slips and entering the details into your accounting system
  • A searchable assistant over your own procedures, price lists and contracts, limited to the staff who should see them

Business districts

  • Downtown Duncan & City Square
  • Canada Avenue & Trunk Road
  • Beverly Corners
  • Cowichan Commons & Drinkwater Road
  • Boys Road & Allenby industrial area
  • Bell McKinnon
  • Whippletree Junction
  • Cowichan Bay Village

Local business landscape

Duncan is the smallest city in Canada by area, so most of the economy it serves sits just outside its boundary, in North Cowichan and the wider Cowichan Valley Regional District. Health care and social services employ the most people, centred on Cowichan District Hospital and the replacement hospital being built at Bell McKinnon. Forestry is still real work here — logging and sawmilling — alongside farms, food producers, cideries and the wineries of the Cowichan Valley, recognized as its own wine region in 2020. Retail runs from the independent shops downtown to the big-box stores at Cowichan Commons. Cowichan Tribes, School District 79, the regional district and Vancouver Island University's Cowichan campus are the other large employers.

Vancouver Island

Workshops over video, without losing the room

Use-case workshops run well over video when they are kept small and focused, which is how we run them on the Island rather than pretending a ferry schedule fits around your team's calendar. Configuration, automation builds and follow-up happen remotely in short steps, and we can plan an in-person session for a larger group where it genuinely earns the trip.

Process

How it works

  1. Discovery

Short interviews and a workflow review to find the tasks where AI can save real time.

  2. Readiness & policy

Permissions, data and security checks, plus an AI-use policy, before any tool touches business data.

  3. Pilot

A small group tests the chosen tools and automations on real work, and we measure the results.

  4. Roll out & measure

Training, rollout to the wider team and follow-up on hours saved and what to tackle next.

Pricing

How pricing works

AI work is scoped in writing in stages — usually an assessment first, then implementation priced by what's being built. Tool subscriptions such as Copilot or ChatGPT are separate costs paid to the vendor.

Read AI consulting for small businesses for what drives cost and how to measure return.

  • Number of people and workflows involved
  • Tools and systems to connect
  • Data clean-up and permissions work
  • Custom assistants or chatbots
  • Training and change management

FAQ

AI Consulting in Duncan: questions

You are based in Greater Vancouver. How does that work for a business in Duncan?

Honestly, with the distance treated as a fact rather than glossed over. Day-to-day support, Microsoft 365, security, backups, servers and cloud systems are handled remotely, and that covers the large majority of what comes up — none of it depends on being in the Cowichan Valley. When work needs hands on equipment, the trip is planned in advance: a ferry sailing and the drive over the Malahat or down from Duke Point, scheduled so everything gets done in one visit. For cabling we subcontract a local trade. What we do not offer is a same-day call-out.

Our office is in North Cowichan, not the City of Duncan. Does that change anything?

No. The city boundary runs tight around the downtown core, so Beverly Corners, the Boys Road and Allenby industrial area, Cowichan Commons and the Bell McKinnon area all sit outside it, and plenty of valley business is further out again in Chemainus, Crofton, Maple Bay, Cowichan Bay or Mill Bay. Remote support does not notice the difference. For planned on-site work the only thing that changes is the drive at this end, and we will say so if a site is remote enough that it is worth combining the visit with other work.

Can AI work be done without anyone coming to our office?

Yes, and it is one of the easier things to run remotely. Setup happens inside accounts you already have, usually Microsoft 365 or Google Workspace, and it can be configured, tested and demonstrated over a screen share. Training works over video in short sessions with the people who will use the tools, which tends to stick better than one long afternoon. The part that needs care is not location, it is data: business accounts rather than personal ones, access limited to the right staff, and a person checking anything that reaches a customer.

What does an AI consultant actually do?

An AI consultant finds the tasks where AI can save time, chooses and configures the right tools, makes sure data and permissions are safe, builds automations or assistants and trains staff. The goal is measurable hours saved — not a demo that never gets used.

How much does AI consulting cost?

It depends on scope. A readiness assessment and use-case workshop is a small, fixed piece of work; building automations or a custom assistant costs more; and tool subscriptions are billed by the vendor per user. We scope each stage in writing so you can stop after any of them.

Is our data safe with Microsoft 365 Copilot or ChatGPT?

Business plans from the major providers commit not to train their models on your data, which is an important difference from personal accounts. The bigger risk is access: Copilot can surface anything a user already has permission to open, so we review file sharing and permissions before rollout.

Will AI replace our staff?

For most small businesses, AI takes over tasks rather than jobs: first drafts, data entry, summaries and routine replies. The time saved usually goes back into client work, sales or the backlog nobody gets to — which is why we measure results in hours returned to the team.
